How we plan a wedding day

Weddings run on a schedule that everyone else depends on. We ask for the timeline early: getting-ready locations, ceremony start, photo stops, reception arrival and the send-off. From that, dispatch works out how many vehicles are needed and when each one should be in position. The chauffeur arrives at least 15 minutes before every pickup and has the timeline, the addresses and a contact number for the planner or a designated family member.

On the day, plans shift. Photos run long, a bridesmaid is late, the rain forces a different photo spot. Because wedding cars are booked by the hour, those changes simply use the booked time instead of creating a new booking.

Which vehicles for which part of the day

Most couples choose a Mercedes-Benz S-Class for themselves, at $230 per hour with a 3-hour minimum. A Mercedes-Benz Sprinter at $240 per hour carries up to fourteen, which fits most wedding parties in one vehicle and keeps everyone arriving together. Escalade SUVs at $150 per hour suit parents and grandparents, and E-Class sedans at $120 per hour work well for guests of honor who need a separate ride.

Guest shuttles between hotel and venue

When guests are staying at one or two downtown or suburban hotels, a Sprinter loop between the hotel and the venue saves them from arranging their own rides and keeps the late-night exit orderly. We set the loop times with you in advance, typically before the ceremony and at the end of the reception.

Chicago wedding logistics worth knowing

Downtown weddings often involve photos along the lakefront, in Millennium Park or on the riverfront, followed by a reception in a Loop, River North or Magnificent Mile venue. These stops are close together on the map but slow in traffic, especially on summer Saturdays and during festivals. How far in advance should we book wedding transportation?

As early as your date and timeline are set. Summer and early autumn weekends are the busiest, and booking early is the best way to secure specific vehicles such as an S-Class and a Sprinter on the same day.

How many hours should we book?

Each vehicle has a 3-hour minimum. Most couples book their car from the first pickup to the reception arrival, then add a separate booking for the send-off if needed. Share your timeline and we will suggest the hours.

Can one Sprinter carry the whole wedding party?

A Sprinter seats up to fourteen passengers, which covers most wedding parties. Larger groups can use two Sprinters or a Sprinter plus an SUV.

What if photos run late?

Wedding vehicles are booked by the hour, so a longer photo session simply uses the booked time. If you run past your booked hours, the time can usually be extended on the day subject to availability.
